E-Mail Disk Quota
There are two methods of using the UAH email server. In the POP mode your email client downloads your messages and deletes them from the server. In the IMAP mode your email client compiles a list of your messages on the server and views them from there (you are using IMAP mode if you use ChargerMail to read your email or if you have an Inbox listed under email.uah.edu and another listed under Local Folders.)
In POP mode you never have to worry about your account filling up because when you check your mail it is automatically deleted from the server. In IMAP mode you need to delete messages from the email.uah.edu folders (and then empty the trash) or move them to the Local Folders.
Determining if your mailbox is full
The first sign that your mailbox on the server is full may be a call from someone who tried to send you a message and received a reply from Postmaster stating something like "The recipient(s) account is temporarily over quota." You might also get an email from Postmaster telling you that your account is close to being full.
You can check how much space you are using by logging into ChargerMail. On the left hand side under your folder list are three bars indicating the amount of space taken up by your webpage folder, your home directory, and your /var/mail folder. It's the third one which tells you how much space you are using for email and how much is available to you.
If it is still available, you can use the OLD Webmail system to get a detailed listing by folder of your space usage. Just log in and click on the Folders icon. You will see a list of your folders, with the number of messages and total space used by each folder. This can be useful if you have organized your mail on the server into folders.
To help you find the messages taking up the most space in a folder, you can sort your messages by size. Look for the Size heading at the top of the list of messages. This may not be listed by default in ChargerMail, if you don't see it, click on the options link at the top. Then click on the Index Order link (the third one on the left of the list of options.) You should now see a page like this:
If Size is not listed with Up|down|Remove to its left, locate Size in the dropdown list next to the Add button, then click Add.
Your folder listing should now have a header including a column labeled Size.
Sorting Messages
In ChargerMail, if you click on the square next to Size at the top of the message list, your mail messages will be sorted in decreasing order of size, this makes it easy to find the largest messages. Click the triangle and they will then be sorted in increasing order of size. If you click the square next to From you can sort by sender to make it easy to delete all messages from a particular sender. Click the square next to Date to return to the messages being sorted by date.
Just remember to empty the trash after deleting messages or you will not recover the space.
Moving Messages with and IMAP Client
You can sort and delete messages in Outlook or other IMAP clients, but you also have the option to move messages to your local folders rather than simply deleting them from the server. To move a message from the server to a local folder, just click on the message and drag it to the folder where you want to store it. You can also drag messages from local folders to the server if you find that you need to access them from home, just be careful not to fill up your account. To move a block of messages, click on the first message in the block, then hold down the SHIFT key and click on the last message in the block. You can now drag the entire block of messages to another folder. To select multiple messages which don't comprise a solid block, click on the first message, then hold down the CTRL key while clicking on each of the other messages you want to select. Release the CTRL key, then drag the selected messages to the folder (if you don't release the CTRL key the messages will be copied to the folder rather than moved).
